Welcome to our latest blog post, where we're excited to unveil some of the new features and updates we've launched in the last few months. Our goal? To simplify the lives of condominium board directors and property managers. Join us as we explore the key updates from this quarter that are set to enhance your condominium board and management experience!

But first, here's a preview of the new "Activities" feature we're working on!

Anticipated release: September 2023

We spoke with dozens of condominium managers in Ontario to better understand the challenges they face in their day-to-day condo board operations. We now understand it's not easy staying on top of dozens of competing tasks and priorities, providing regular work status updates, and getting clear direction from your board.

We're hard at work designing and building an easy to use activity tracking and approval request system in managemate, to help our condominium manager users keep their board members on the same page, while giving them time back to get their work done.

Our goal is to relieve stress for condominium managers and their boards by giving them a place to track and collaborate on their work.

Mentioning other users in notes

Launched in May 2023

You can now collaborate with your board and property management team by mentioning (i.e., tagging) them in notes that you add to records.

Use mentions to ask questions, get answers and share updates about your condo’s project, vendors or documents record. With this feature, discussion won’t get lost in emails and will be available in managemate for future reference.

When creating a new note or editing an existing one, simply type the "@" symbol followed by the name of the person you want to mention. As you type, you will see a list of suggested user names to choose from. Once you select the appropriate user and save the note they will receive a notification.

When you mention other users like board members or property managers, they will receive a notification by email and/or an in-app notification.

This feature makes it easier to collaborate with board members and property managers and keep everyone informed of important updates.

You can manage your mentions notification settings in the User Profile page of your managemate account.

Safeguard your records with the recycle bin

Launched in May 2023

Managemate’s recycle bin provides condos with a safety net for their records.

When deleted, records will automatically be moved to the recycle bin, where they will be kept for a 90-day retention period. You can then restore items from the recycle bin within this 90-day retention period.

This allows users to easily restore accidentally or maliciously deleted projects, vendors, invoices, documents and their attached files within 90-days from when the item was deleted.

To find or restore records from the recycle bin, go to the record's section page and view the recycle bin by clicking the "Show recycle bin" toggle button.

Provide a status update for a project using the share feature

Launched in June 2023

We're making it easier for condominium managers and board members who spearhead projects to communicate updates with their teams.

When a project is shared with other users in managemate, the users who receive the update will receive details about the project start and end dates, the project’s overall stage, its priority and the status of the project’s budget.

We also highlight overdue, upcoming, and completed activities in the shared email, allowing users to keep track of the work being done.

Seeing what's changed using the Changelog

Launched in June 2023

Changes made to documents, projects, vendors, invoices and users are captured in each record’s changelog.

The changelog feature let’s users see what’s changed in a record since it was created, including who made the change. This helps users get up to speed on the latest activity in a record quickly. The changelog also facilitates transparency and accountability.

You can access the Changelog from two different locations - record details and the main records lists.

In the record details view, you can find the changelog by clicking the menu button with the three dots icon.

In the main records lists, such as the main projects list, you can view changes for all records of that type. To open the changelog in a records list, click the button with a clock icon in it next to the "Create Project" button.

Faster record linking

Launched in August 2023

We've made it easier for you to link records together in project, invoice and document pages.

By linking records together, you can find them more easily. For example, you can find an engineering report in the documents section of the application, or in the engineering company's profile, or in the project that the report relates to.

To link a record, simply type the name of the record you want to link in the applicable search box, then click the record you want to link.

Creating new records on the fly

Launched in August 2023

You can now create a new record without having to navigate away from the record page you’re working with, when linking records together.

Simply click the “Create New” button in the search results that appear when you’re trying to link a record, which will create a new record with the name you provide.

You can add more information to the new record, later.

Capture more information about files in Documents and Invoices

You can now capture more information about files that are uploaded to documents and invoices.

By adding more context to your files, you can distinguish drafts from final versions, or distinguish one file from others by adding a "star" to the file.

We now capture the following information for each file:

  • Upload date
  • The user uploading the file
  • A description of the document (optional)
  • Adding a "star" icon to a file
